What We Collect
We collect only what is necessary to provide and improve our service: your name, email address, company name, and the meeting recordings and transcripts you choose to create using Hansard. We do not sell your data or use it for advertising.
How We Use Your Data
- To transcribe, index, and store your meeting recordings.
- To provide search and playback features within your account.
- To send you service-related notifications and product updates (which you can opt out of).
- To diagnose and fix technical issues.
Data Retention
Recording retention depends on your plan: Team includes 90-day retention, and Business includes 1-year retention. You can delete recordings at any time from your account. If you close your account, we delete your data within 30 days, unless we are legally required to retain it longer.
Security
Your recordings and transcripts are protected with end-to-end encryption — every frame and syllable is encrypted in transit and at rest using industry-standard TLS and AES-256. Audio is captured as speaker-isolated tracks, and you control data residency and retention through configurable, granular settings.
Third Parties
We use a small number of trusted service providers (e.g., cloud infrastructure, transcription engines) under strict data-processing agreements. They may only process your data to provide the specific services we have contracted them for, and never for their own purposes.
Limited Use Disclosure
Hansard's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, Hansard:
- Only uses access to read Google Calendar data to display your upcoming meetings and let you select which ones to record. We do not use Google user data for serving advertisements.
- Does not transfer Google user data to third parties except as necessary to provide or improve user-facing features, comply with applicable law, or as part of a merger, acquisition, or sale of assets with user notice.
- Does not use Google user data for purposes unrelated to the user-facing features described above.
- Does not allow humans to read Google user data unless we have your affirmative agreement for specific messages, doing so is necessary for security purposes (such as investigating abuse), to comply with applicable law, or for internal operations where the data has been aggregated and anonymized.
Sharing and Disclosure of Google User Data
Hansard shares Google user data only with the following categories of recipients, and only as necessary to provide Hansard's features:
- Cloud infrastructure and hosting providers that host our application and store calendar event references you have selected (for example, our hosting and database providers).
- Authentication providers that manage sign-in and OAuth token storage.
- AI and transcription providers that process meeting recordings you explicitly choose to record. Calendar metadata is sent only when necessary to label recordings.
- Error monitoring and diagnostics providers, which are configured to exclude Google user data from logs where possible.
All such providers are contractually bound to process Google user data only on our instructions and in accordance with the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, use it for advertising, or transfer it for purposes unrelated to providing Hansard's user-facing features.
We may also disclose Google user data if required by law, or transfer it in connection with a merger or acquisition with prior user notice.
Your Rights
You can access, export, or delete your data at any time from your account settings. If you have questions or requests, contact us at privacy@tryhansard.com.
Changes
We may update this policy from time to time. If we make material changes, we will notify you by email or through the product at least 30 days before they take effect.
